Please complete this form for the event you are attending. It helps us and the venue understand any hazards linked to your stand, your equipment, and your activities during build-up, trading hours, and breakdown.

One submission per event. If you have already completed an assessment and nothing has changed, you do not need to resubmit (we will keep it on file until the end of the calendar year).

Stand / Trading Risk Assessment

Please consider any significant risks during build-up, trading hours, and breakdown. Outline the steps you will take to minimise those risks in the tables below.

If there are no significant risks associated with your stand/activities, please state "NO SIGNIFICANT RISK" and submit the form.

Hazard (what could cause harm?) List hazards you could reasonably expect to result in harm at your plot/stand, especially during loading/unloading and when the public are present.
  • Slips/trips (cables, boxes, uneven ground, wet surfaces, mat edges)
  • Manual handling (heavy/awkward items such as parts, stock, tables, gazebos)
  • Stand structures (gazebos/marquees, stability, anchoring/weights, sharp edges)
  • Electrical safety (portable electrics, adapters, cable routing, battery charging)
  • Tools/demonstrations (hand tools/power tools, cutting/grinding, hot surfaces)
  • Chemicals/fuels (oils, petrol/diesel, aerosols, cleaning fluids, battery charging)
  • Vehicle movements (loading, reversing, display vehicles moving on/off stand)
  • Crowd interaction (queues, narrow gangways, handling heavy items near the public)
  • Weather (wind/rain/heat affecting stands, signage and stock)
Who might be harmed? Think about groups of people who may be affected, for example: your staff/volunteers; contractors/event staff; neighbouring traders; and members of the public (including children). Pay particular attention to anyone more vulnerable (e.g. disabilities, lone workers, inexperienced staff). Controls to minimise risk (what will you do?) For each hazard listed, explain the precautions you already take and anything additional you will do for this event. Consider safe systems during build-up/breakdown; good housekeeping (keeping gangways clear, tidy storage); appropriate PPE where needed; and compliance with legal requirements and recognised good practice.

Fire Assessment

Please list any fire hazards linked to your stand/plot and how you will control them (e.g. combustible materials such as packaging/stock; flammable substances; LPG; and ignition sources such as heaters/cooking equipment/smoking). Also consider keeping access/escape routes clear.

Camping Assessment

Camping is not available at all shows and may be strictly limited by space. Please see your show pack for details on when you may arrive on site and when you must vacate the showground.

Please include any relevant information such as gas use, generators, cooking equipment, fuel storage, or any other safety notes.

Public Liability Insurance

It is a condition of acceptance that you hold and submit a copy of your Public Liability Insurance certificate. You must provide a copy of your Public Liability Insurance Certificate with this application. Please ensure that your cover does not expire before the first event date. If your expiry date is before the event date, we will need to reject your application.
